Information We Collect

When you register for a tax clinic appointment, we collect the following personal information: your full name, email address, phone number, number of people filing, and any additional notes you provide. During your appointment, our trained volunteers may also collect your Social Insurance Number (SIN), income details, and tax-related documents solely for the purpose of completing your tax return.

Why We Collect Your Information

Your personal information is collected for the following purposes: to schedule and manage your tax clinic appointment; to contact you regarding your appointment or changes to clinic schedules; to process your tax return through the Canada Revenue Agency (CRA) Community Volunteer Income Tax Program (CVITP); and to send confirmation and reminder communications related to your registration.

How Your Information Is Stored

Registration data (name, email, phone, appointment details) is stored securely on Convex, a cloud database platform hosted in the United States. Access to this database is restricted exclusively to authorized volunteer administrators of Toronto Hong Kong Parent Group. Sensitive tax documents and SIN numbers are handled only in-person at the clinic and are not stored digitally by our organization.

Who Can Access Your Information

Only authorized volunteer administrators of Toronto Hong Kong Parent Group have access to registration records. Your information is not shared with, sold to, or disclosed to any third parties, commercial organizations, or government agencies, except as required by law or directly as part of the CRA CVITP tax filing process.

Data Retention

Registration records are retained for up to 12 months following the tax year for which the clinic was held, after which they are securely deleted. This retention period allows us to respond to inquiries or follow-up questions related to your filing.
